Automation, custom CRM and AI agents for New York service businesses.

Orium Studios, Sacramento, California, builds the Client Acquisition System for New York service businesses: an AI receptionist for the hours the crew is in an elevator with no signal, a custom CRM with follow-up that holds the building's paperwork, and the pages that turn a search into a booked job. We work remotely with New York companies, and one of our systems in production already runs a car brokerage in New York. Work starts with a free check, then a $750 Client Acquisition Blueprint; websites run from $1,200 for a one-page landing and from $2,500 for a site with a page per service and city, and custom CRM starts at $4,500.

SHT-02Site conditions

What the work looks like here.

01

The building stands between you and the customer

Most residential work in the city happens inside a co-op, a condo or a rental building with a board, a managing agent and a super, and each of them has a say before a crew arrives: a certificate of insurance naming the building and its agent, an alteration agreement for anything beyond paint, a service elevator reservation, and work hours the building allows. Companies carry that in a folder and a super's phone number. We make the building a record with its agent, its certificate requirements, its hours and its elevator rules, and the jobs inside it inherit them. A job cannot move to scheduled while the certificate has not been issued, because the alternative is a crew sent back down the service entrance at eight in the morning.

02

The licence is issued by the city, and the city checks

Home improvement contractors in the five boroughs are licensed by the city's consumer protection department, and the suburban counties run their own licensing on top. A licence number has to appear on the contract and the advertising, and the written contract has a required shape. We treat that as a specification for what the system generates: the number lands on every estimate, invoice and web page on its own, the required clauses live in a template nobody can trim, and every version of a contract is kept. You and your lawyer decide the rule; our part is that it cannot be bypassed by accident.

03

A move here is a logistics problem with a customer attached

A move in the city is two buildings' rules, a truck that cannot park, a certificate for each end, an elevator window at each end, and a customer who is more anxious than at any other point in the year. The companies that win are the ones whose quote looks like a document, whose confirmation arrives in writing, and whose day-of updates come without being asked. We build the quote from an inventory rather than from a phone estimate, attach both buildings' requirements to the job, send the confirmation and the reminder automatically, and keep the message log on the job so anyone in the office can answer what was agreed.

04

The customer texts before they call, and the first reply wins

New Yorkers write first: a form, a text, a message on a listing, and only then a call if the reply was fast enough. A reply that arrives the next morning arrives after the job was given to someone else. The system we build answers the written enquiry within minutes with a real next step, logs it as a lead with its source, and hands it to a person with the thread attached. The AI receptionist works in English and one more language your customers use, takes the name, number and reason, and reads the number back. The follow-up keeps going on business days until there is an answer either way.

05

Three hours behind, and honest about it

We work from Sacramento, three hours behind the city. Our working day begins at noon Eastern and runs into the evening, which suits an owner who reviews quotes after the crew is done and is wrong for one who needs a reply at eight in the morning. We say that up front rather than after the contract. The kickoff and the walkthrough run on a screen share with a written scope, and a build can include an in-person visit; one of the systems in production already runs a car brokerage in New York, built from the same distance.

06

What this page will not claim

No New York contractor or mover is named on this page, and we would rather say so than invent one. What exists and can be checked: three CRMs in production, one of which runs a car brokerage in New York, 3,152 automated tests in the newest system, 424 database migrations, 30 guard tests written to fail against the exact bug they guard. That is the accurate answer, and it is available before you pay anything. This page has a Ukrainian-language counterpart, and Brooklyn has a Russian-language page of its own.

SHT-03AThe system

The Client Acquisition System, for New York businesses.

Three stages, Diagnose, Build and Run, and each one has a page of its own. Diagnose finds where the business leaks customers. Build puts up the pieces that stop the leak: the AI receptionist, the CRM with follow-up, and the pages that convert. Run works the channels every week for a flat fee. Any stage can be bought on its own; nothing is a condition of anything else.

  1. 01

    The free check

Where the business is losing customers today: not found, nobody answers, nobody follows up. A written answer, the same day, with no call required.

  2. 02

    Client Acquisition Blueprint, $750

Five business days inside how the business gets customers, and a written plan of what to build and in what order. Paid upfront as its own piece of work.

  3. 03

    AI receptionist

For the hours the crew cannot be on the phone: takes the name, number and reason, reads the number back, and hands the lead to a person while it is still warm.

  4. 04

    CRM and follow-up

One record per customer, follow-up that keeps going on business days, and a Monday report of leads and booked jobs by source.

  5. 05

    The pages that convert

Pages that hand the lead to the system instead of to an inbox, with the phone number, the price and the next step where a visitor looks first.

  6. 06

    Run retainers, $750 to $1,500 a month, multi-location from $2,500

One channel worked every week, or the full path from ad to booked job. A flat monthly fee, never a share of ad spend; the media is paid to Google or Meta directly.

What is actually running.

Three CRMs in production, 3915 automated tests across the three systems, 424 database migrations, and 30 guard tests written after a bug that types could not catch. On a build, the client owns the code and the database from the first commit.

SHT-06General notes

The questions people actually ask.

N01Who builds custom CRM systems and AI receptionists for New York service businesses?
Orium Studios, Sacramento, California, working remotely with New York companies. We build the AI receptionist, a custom CRM with follow-up and the pages that convert, as one system or one piece at a time. Custom CRM starts at $4,500 and takes 30 to 45 days; websites run from $1,200 for a one-page landing and from $2,500 for a site with a page per service and city.
N02Can the system hold a building's certificate, elevator and access requirements?
Yes. The building becomes a record with its managing agent, its certificate of insurance requirements and expiry, its permitted hours and its elevator rules attached. Jobs inside that building inherit those rules, and the system blocks scheduling while a required certificate has not been issued.
N03Can the system hold the city's home improvement contract rules?
Yes. The licence number lands on outgoing documents and on the site automatically, the required clauses are assembled from a template nobody can trim, and every version of a contract is kept. We do not give legal advice: you and your lawyer put the rule in, and our part is that it cannot be bypassed by accident.
N04You are three hours behind. Does that work?
For most owners, yes: our day starts at noon Eastern and runs into the evening, which is when a service business owner actually reviews quotes and messages. The AI receptionist and the follow-up run on your clock, not ours. If you need a human reply from us at eight in the morning Eastern, we say so up front: that is not what this studio offers.
N05Have you built for a New York business already?
Yes: one of the three CRMs in production runs a car brokerage in New York. No New York contractor or mover is named on this page. What can be checked is the engineering: 3,152 automated tests in the newest system, 424 database migrations, and 30 guard tests.
N06What does it cost, and where do we start?
With the free check. Then a Client Acquisition Blueprint at $750: five business days and a written plan, paid upfront as its own piece of work. Website Build runs from $1,200 for a one-page landing and from $2,500 for a site with a page per service and city, and goes live in 10 to 14 days; custom CRM starts at $4,500 over 30 to 45 days, paid half to book the slot and half at launch. After launch, Run retainers from $750 a month are optional and month to month.
