SHT-00CRM and follow-up

Every lead recorded, qualified and chased until it is a job or a no.

Orium Studios in Sacramento builds the part of the path that runs after the customer reaches out: the record, the qualification, the follow-up and the handoff to the sale. One automation wired into the CRM you have is $1,500; one of our running systems fitted to your trade is from $2,500; a custom CRM built around how you work is from $4,500. You own the code and the data.

SHT-01What leaks

Where a lead is lost after it reached you.

The call came in. The form was sent. This is what happens next in most service businesses, and where the job quietly goes to someone else.

  1. 01

The missed call that nobody calls back

A call during a job, a voicemail nobody checks until evening. The customer called the next company on the list. A missed call that gets a text within a minute keeps the conversation.

  2. 02

The lead that lives in a text thread

Name on the phone, address in WhatsApp, the quote in an email. Three weeks later nobody can say what was promised. One record per customer, with every message and document on it.

  3. 03

The quote that was never followed up

The estimate went out and silence followed. Most quotes are won or lost in the follow-up, and most businesses follow up once, if at all.

  4. 04

Everyone looks the same in the pipeline

A homeowner asking about a full renovation and someone pricing a single faucet sit in the same list. Qualification at the first contact sends the right ones to the owner first.

  5. 05

The owner is the only one who knows

The pipeline is in one person's head. When they are on a roof or on holiday, nothing moves. A system that a second person can read is what lets the business grow past its founder.

  6. 06

The job closed and the customer was forgotten

Repeat work and referrals are the cheapest leads there are, and almost nobody asks for them on a schedule.

SHT-02What we check

The free check follows one lead from contact to sale.

  1. Contact

What happens to a call and a form

Who sees it, how fast, and what the customer hears in the meantime. We call and we fill the form, and we time it.

  2. Record

    Where the customer lives

A CRM, a spreadsheet, a notebook, a phone. How many places one customer's facts are kept in, and whether two of them disagree.

  3. Follow-up

How many times, and by whom

What is sent after a quote, after a no-answer, after a finished job. Usually the honest answer is once, by the owner, when there is time.

  4. Handoff

From a yes to a scheduled job

Whether the sale turns into a job on a calendar with the crew, the materials and the deposit, or into another text thread.

SHT-03What we build

Three sizes, one rule: the client owns the system.

We start from the smallest thing that closes the leak. A business with a CRM that works gets one automation, not a new CRM.

One thing

AI Automation Sprint

$1,500

One automation wired into the CRM you already have, in one to two weeks: the missed-call text-back, the quote follow-up sequence, the lead qualifier, or the AI receptionist on your line.

  • Scope fixed before the start
  • Runs on your own accounts
  • Written into your existing CRM
  • A new CRM
  • An agent that writes into nothing

A running system

Fitted System

From $2,500

One of the systems we already run in production, shaped to your process in one to two weeks: pipeline, quotes, documents, follow-up and the owner's weekly report, with your own stages and your own words.

  • A proven core, not a blank page
  • Your pipeline stages and quote format
  • Follow-up sequences included
  • A workflow no trade has needed before

Your own

Custom CRM

From $4,500

Your own pipelines and automations, built around how you actually work, in 30 to 45 days: when the thing that makes your business money is something no product models, a planner, a pricing rule, a multi-step job.

  • Your rules, written once
  • Documents, payments and telephony on the record
  • The code and the database are yours
  • A rented platform with a logo on it

After launch, upkeep is the Maintain retainer at $300 a month, and running the follow-up as part of acquisition is a Run retainer. Prices are published on the pricing page and are the same for every city.

SHT-04How it is measured

What the owner's report shows.

A CRM is judged by what it did to the numbers between contact and sale.

MeasureWhere it comes from
Time to first replyTimestamp of the lead against the first message or call out of the system
Leads followed up, and how many timesFollow-up steps logged on each record
Quotes sent, quotes wonPipeline stages, by month and by source
Jobs on the calendarScheduled jobs with crew and deposit, from the same record
Repeat and referral jobsCustomers with a second job, and the referral field on the record

SHT-05When we say no

Who this is for, and when we say no.

It fits when

  • Leads already arrive and some of them are lost between the call and the job.
  • More than one person touches a customer, or you want it to be possible.
  • An average job is worth enough that one recovered lead a month pays for the system.
  • You are ready to work inside one system instead of three apps and a notebook.

We say no when

  • Nobody is calling yet. The leak is earlier on the path; the free check will say where.
  • A rented CRM already fits you. Then we say so, and the build-vs-buy guide explains why.
  • You want an AI agent that writes into nothing. An agent without a record behind it is not sold here.
  • You want the system but not the follow-up. The follow-up is where the money is.

SHT-06Price

What it costs, and what comes first.

One automation wired into your existing CRM is the AI Automation Sprint, $1,500, one to two weeks. A fitted system is from $2,500. A custom CRM is from $4,500, 30 to 45 days. Builds are half to book the slot, half at launch, and the price rises with the size of the business the system has to run.

When you do not know which of the three you need, the free check reads your path in one page the same day. When the answer depends on who your best customers are, the Client Acquisition Blueprint, $750 and five working days, decides it before anything is built.

SHT-07General notes

Before you ask.

N01I already have a CRM. Do I need a new one?
Probably not. If the CRM you have records every lead and the people use it, the leak is in the follow-up, and one automation closes it: the AI Automation Sprint, $1,500, builds one thing into the system you already run. A new CRM is the answer only when the one you have cannot model how you make money, and the build-vs-buy guide says how to tell.
N02What does follow-up actually mean here?
A sequence that runs by itself after each event: a text within a minute of a missed call, a message the day after a quote and again a week later, a reminder before the job, a request for a review after it, a check-in months later for repeat work. Every message is logged on the customer record, and a person steps in the moment the customer replies.
N03How fast can it be live?
One automation in one to two weeks. A fitted system in one to two weeks, because it starts from a core that already runs. A custom CRM in 30 to 45 days. The scope and the dates are written down before the first day, and the first week is spent on your real data, not on a demo.
N04Who owns the system and the data?
You do, from the first commit. The code, the database, the phone numbers and the accounts are registered to your business. If you stop working with us, the system keeps running where it is, and anyone you hire can read the code.
N05Can an AI receptionist be part of it?
Yes, as part of a system that records the call. The receptionist records the caller's name, number and reason, reads the number back, and writes the record into the CRM, where the follow-up starts from it. On its own line it is a sprint, $1,500; inside a custom build it is part of the build. The call minutes are billed by the providers to your own accounts.
