Leads arrive in WhatsApp. How to stop losing them
The messenger is not the problem. The problem is that a conversation is not a record: it has no status, no owner, and no yesterday you can go back to.

Messenger leads are lost because a message has no status, not because nobody saw it. What works: Telegram connects to a system directly and the enquiry lands on the board by itself; WhatsApp does not connect without a Meta business account and a messaging provider, so until that exists the working rule is one button in the system that turns a conversation into a record in seconds. Why a messenger loses leads and an inbox does not
Because a conversation looks like work. An unread email is visibly unread; a chat scrolls upward and the next one takes its place. A message has none of the three things a record has: a status, an owner, and a date for the next step. Until it has them, the memory of the enquiry lives in the head of whoever read the chat last, and it resets over the weekend. This is not a discipline problem. The tool has no field for the thing you need.
Telegram connects directly
A bot reads messages into the system, and the system sends notifications back the same way. This is the cheapest piece of automation there is and almost always the one that pays for itself first, because it does not improve the process: it stops losing what you already paid for in advertising or in a referral. WhatsApp: the honest answer is longer
A personal WhatsApp account cannot be connected to a CRM, and anyone promising otherwise is promising a workaround of the platform's own rules with your number as the stake. The official route needs a Meta business account, business verification, and a provider through which messages travel, and messages sent outside the reply window go as templates approved in advance. It is achievable, and it is its own project with a timeline set by Meta rather than by me. Viber for business works the same way: through a provider, not through your personal account.
The one-button rule that works today
Until the official connection exists, use the unglamorous version: one action in the system that creates a record from the conversation in seconds, and an agreement that after that button the conversation continues against a job number. It is not elegant. It works from the first day, it costs nothing, and it is what most businesses actually need rather than an integration project.
What happens once the lead is on the board
The part it was all for. The record gets a status and a date for the next step. An estimate that was opened and not signed joins the follow-up queue, which is not one email but a set of rules about what must not happen: do not write to someone who already replied, do not send at night, do not chase someone who said no. And the client's history sits in one place rather than in three chats and one person's memory.

One front door first: every enquiry, by any channel, becomes a record in one place. Then statuses and follow-up. Then everything else. The reverse order is more common and works worse, because a beautiful board that people fill in by hand survives exactly until the first busy week.
