CRM for wallpaper installers: the arithmetic no generic CRM does

Every trade has one calculation that decides whether the job made money. In wallpaper it is the roll count, and it is not the room area divided by the roll area.

The short answer

A wallpaper installer's system stands or falls on one engine: panels per wall from the wall width and the roll width, the cut length rounded up to a whole number of pattern repeats, panels per roll from the roll length, and rolls from the total panels, with openings deducted only when deducting them is safe. That engine has to live in one file and run identically in the estimate and in the public calculator. This is the centre of WallFlow, the studio's own product, in production with paying customers on it.

The pattern repeat is what breaks the naive calculation

Area divided by roll coverage gives a number that is wrong in the direction that costs money. A patterned paper has to align across panels, so the cut length is not the wall height: it is the wall height rounded up to a whole number of repeats, and the offcut is waste on every single drop. That rounding is where the material budget quietly goes, and it is exactly the step a general-purpose product has no field for.

Openings are not simply subtracted

A door does not remove its own area from the order, because the paper above and beside it still has to align with everything else on the wall. Deducting openings the way a paint calculator does produces an order that is short, and a short order on a discontinued batch is a job stopped. The rule about when a deduction is safe is trade knowledge, and putting it in the software is most of the reason the software exists.

The same engine has to run on the public site

The number a homeowner sees on the contractor's website and the number on the estimate have to come from the same code. In WallFlow the engine runs as an embeddable widget on the contractor's own site, so a visitor can price a room before anyone picks up a phone, and the estimate that follows cannot contradict it. Two implementations of one formula is the single most reliable way to lose an argument with a customer.

Estimate, signature and deposit in one line

The estimate goes out as a link. The client opens it on a phone, reads it and signs, and the signature is composited into the real document with both names, the date and an audit trail. The deposit runs through the contractor's own payment account. The homeowner gets a tokenised page rather than an account, because nobody in this trade is going to create a login to look at their own quote, and a login they never use is a support call later.

What runs without anyone remembering

A voice agent on the inbound line with a handoff to a person, a follow-up engine that chases quiet estimates without inventing a number that is not already on the estimate, and scheduled jobs that do the daily work. Accounting is connected rather than retyped, so the month does not end with someone keying figures out of a PDF.

When a product off the shelf is the better answer

If the arithmetic of your trade fits in a product's fields, buy the product: you are getting someone else's debugging for a subscription and that is a bargain. Custom earns its place when the calculation that makes you money is the one thing no product models, which in this trade it usually is, and when the workaround spreadsheet next to the CRM has quietly become the process.
